All by myself or Agent? – List of Accredited Filipino Maid Agencies

by expat-underground

The biggest hurdle anyone must overcome when applying for a new maid is all the paperwork. There are so many forms that have to be filled in, certain forms requiring company stamps or ‘chops’ or letterheads, numerous photos and photocopies of all the family documents like marriage certificates, birth certificates of children etc. Also, filling out the forms can be very confusing because they do not seem to make sense when read. The forms must be submitted to the immigration agency that has approved your family’s permit like Putrajaya or Cyberjaya. If the maid has entered under a tourist visa then converting to a permit under your family name is fairly straightforward. Just follow the list and complete all the forms in the Maid in KL page. However, if you are transferring your maid’s permit to your permit then it gets a little complicated. Firstly, the previous employer needs to cancel your maids permit and write a letter stating that she is being transferred to a new sponsor and the name of the new sponsor. If the previous employer has left the country this could get a little difficult. The maid’s permit needs to be cancelled at the immigration department that it was originally processed. Bare in mind that each Immigration department works independently. Once your maid’s permit has been cancelled she is considered illegal and some Immigration departments will enforce that she leaves the country and will not be allowed to re-enter for 6 months. This is definitely when you need an agent.

If it gets too difficult then employ an agent to act on your behalf but this will cost ~4500rm but no trips to immigration. If your maid’s permit has expired then she is considered illegal and you will need to use an agent. They will issue her with a new passport and there will be an additional fine depending on the length of time she has stayed without a permit. Some agencies will be more helpful than others depending on their contact. A new permit will cost 6500rm. The agents are expensive but to go to immigration takes time plus there is a long queue and it might take a couple attempts due to incorrect or missing documents. The staff at the immigration department are never helpful and will provide little assistance. Below is a list of maid agencies approved by the Filipino Embassy. I have used FR Gardens and they were very helpful.

Hi, i’m an expat here in kl and i recently brought a maid here via social visit pass. I want to get her legal permit to work for me. May i pls know the procedures i need an how much these costs?

First you need to understand that her permit will be under your husbands permit. Second the immigration department in charge of your husband’s permit will be the department that you deal with in regard to processing papers. Putrajaya, Mdec, etc are all separate departments and they do not work together. Next make sure you have all of your paperwork ready, ie copies of your passport and permit, your husbands passport and permit, marriage certificate, 4 photo of yourself, your husband and your maid and all the documents properly filled in that are listed under Maid in KL essentials. Some require company letterheads and others require company chops. Once these are all collected then go to the appropriate immigration department and they will direct you to the right area. Allow at least 3-4 hours and another visit before the permit will be accepted. Also, make sure there is at least 1 month left on the social visa. The cost depends on who you are dealing with and how difficult they want to be. I would say roughly 2000rm if everyone is legal. If the maid is illegal then an agent may be needed and they will charge ~6500rm.

thanks a lot for your reply. i am the one working as an expat here in malaysia. i heard that filipino maids are not allowed to be processed without an agent. would you know about this? have you processed yourself a filipina maid? your response is greatly appreciated as i am in dire need of help. =) thanks a lot.

No filipino maids can be processed without an agent but this depends on what their current visa situation is and who is processing your papers at immigration. If the maid is under a social visa then it should be easy to get her properly processed as long as you have all the papers etc. A trip to immigration will answer your questions. I have friends who have processed their maid’s permit themselves but this was due to the friendly staff member at immigration. If there are any problems an agent can be used and they will be successful as in Asia it helps to know people in the right places.

Hi. Which immigration dept in kl would you recommend to go to which has friendly staff? 😉

      • Jun 3 2012

Friendly staff do not usually exist when it comes to immigration departments. First the immigration department will depend on who your permit is registered under i.e. Putrajaya or KL or Mdec etc. The immigration departments seem to work independently to each other. The best one I dealt with is Mdec as they are set up for expatriates and there is never many people there. The most unpleasant immigration dept I have dealt with is Pusat Bandar Damansara however I parked illegally on the side of the road so parking was not a problem. The problem I had with Putrajaya was finding the right area, make sure you have the Malay interpretation for the area you need.

Yes my friend processed her maid this year. The agency means the maid does not need to go back to the Philippines for 6 months which is required for name transfers, if their visa has expired or they are illegal. Again, it all depends on the immigration officer you use to process your papers as to how helpful they are. If you have all the paperwork then they might be a more helpful. Last resort can be an agent. No problems using the thread. Keep me informed.

Firstly I would suggest contacting the Malaysian embassy in Honk Kong to see what the rules are and the necessary paperwork. I would also contact an agent to see whether they can help because if it gets too difficult then you can use them as a fall back. If you have any problems then let me know. What she will have to do is enter on a social pass and then once in Malaysia proceed with her permit but the Malaysian embassy might suggest something else.

hi again, i’ve just visited the immigration office regarding the requirements and they all seem fairly easy to accomplish except for the POEA approval. they say i need to get this at the philippine embassy in kuala lumpur. i just want to know if you have acquired this and the process, thanks in advance!

I have never acquired POEA approval. Could you please keep me up-to-date with what you had to do. As long as you have all your paperwork I do not think it should be a problem. The paperwork would be copies of your passport, permit, maid’s passport (I’d take her along to the embassy just in case) and many passport size photos, the contract that she has signed to work with you etc.

Hello. I have a complicated case here and was wondering if i can ask some questions. We have just moved to KL from Cairo. In Cairo we had a Philipino maid but she could not come with us since she is married to Egyptian. But she has her younger sister working in Hong Kong who wants to come and work for us. I was wondering what can we do to bring here. Can she come direct from HK on tourist visa and get her work permit here? I called one maid agency and they she has to go back to Philippines and get her work permit there and then come to Malaysia. They said since her work permit in HK is issued
on somebody’s else she can not travel to Malaysia as tourist. So do not know how much of this is true. Would really appreciate any help with this matter. Thank you in advance.
P.S: Another question, what is a live-in maid salary up-to-date in Kuala Lumpur? Was paying $800 to my maid in Cairo, it was considered a very good salary.

In regard to the permit in hk it might be best for her to go to Phillipines and then enter Malaysia on a social visa with a new passport. Contact this agency on 03 9058 1440 and they can answer your questions. Usually 1400 rm is a good price with one day off. Any less and the maid will leave.

Let me know how what they suggest. It can depend on who is in immigration at the time.

Hi! I have some inquiries on Filipino maid’s permit. My previous maid was introduced by one of my boss’ maid. Therefore, I manage to find a maid agency to do her permit. However, after 1 year due to her personal problem, I have sent her back to Philippine and asked the maid agency for assistance. Recently, I found out that the maid did not return to her own country and the maid agency managed to find her a job. I felt cheated of trusting the maid agency. Once my maid left, I reapply a new maid through this maid agency. Now still waiting for this new maid’s permit to be approved as she came into Malaysia as tourist. Do you able to advise how do I know her permit is legalize? I have yet to sign any documentations with the agency or the maid. Any body/authority that I can make a complaint about this issue?

Please contact the Filipino embassy and tell them about your problems with the agent. They may want you to lodge a police report. It is important that you report this agent. To check that the permit is valid is simple, first go to immigration that the permit is registered under and they will check it is valid. You should not pay anymore money until permit is obtained.

It is very important that you check whether your maid’s permit is valid. I had one maid who ran away but I contacted her church and they brought her back. We decided we no longer trusted her (I caught her being massaged by a stranger while she was babysitting my one year old daughter) so we said she could look for another employer and that we would allow a name transfer if her new employer paid the outstanding amount on her visa (she had only worked for us for a month). She said she could not find a new employer and asked for us to pay for her ticket home. I said no as I knew she was working part-time and when being interviewed for full time work she was lying about us (she said we never gave her food). After we cancelled her visa I was trying to find a part-time maid and she was recommended to me by a friend’s maid friend’s maid etc. they made a point that she had a legal permit. So make sure you first check the permit and second report any problems to the Filipino embassy.

Thank you for the prompt advice. I’m pretty upset now as I have paid all the agency fees which cost me RM9,550. I just got to know from my ex-maid that she was illegal for 20 months as I have paid for the fees to make her legalize but I have been cheated. :(. Now the agent seems to be chicken out after we confronted her. Think will check with the immigration soon. Do you know any agency who can assist on this issue?

I have been there so I know how you feel. Make sure you lodge a police report. I was in the final stages of organising a permit for a illegal maid and when they said to pay extra I stopped. Best to not pay anything until you have permit. If agent refuses then do not use them. I have a list of Filipino embassy approved agencies so try one of them. Some expats will use free agents so they do not have your problem. Problem is they will be more demanding regarding their work place. Some maids have their own permit due to relatives or being married to local. My advice is to contact the embassy approved agency select maid and this should only cost 6500. Use part-time until she arrives. Remember maids can be helpful but they do not always make life easy.

hi mylittlesophia! unfortunately they do not issue POEA approval here to individuals. you need to get an agent and pay him around 6k RM for the processing of your Filipina nanny. this is what i learned from my previous experience. you can try though to go to the POLO agency at the philippine embassy in KL to obtain this POEA approval. let me know if you have any information on this as I have a friend who also wishes to bring her nanny with her here.

You can try contacting Agensi Pekerjaan on 03 9058 1440 as they are experienced with all maid related issues. Usually in Malaysia it is easier to use an agent as they can help you fill out all the necessary paper work plus they have the contacts so there are no hurdles to overcome. If you use the agent to obtain the permit it will cost 5500 – 6500. Of course it is cheaper if you do it yourself.

Hi Sophia, What was the name of the agent that quoted 10,000 rm? That seems excessive as that is usually how much they charge for their own maids. Some maids I know get a social visa so they can enter the country and then they change the visa to a working permit. To change a working visa to a permit usually costs 5500 rm or no more than 6500 rm if using an agent. Not sure why they would charge 10,000 rm. You could also try contacting Sara on 019 3807 925.

Hai, thank ur for ur respond.. The 10k rm is the total money that we should pay to agent:

    Agency fees: 6500 rm
medical of 4,500pesos and 18,500pesos for her processing, insurance tesda and pag-ibig : ~1500 rm
And salary deduction of RM2,000 which i will pay them in advance.

    Total : 10,000rm

    So scary, eh?

It is best to contact the Filipino embassy in regard to tourist visa as there certain documents required. The embassy’s contact numbers are the following: +60-3-21484233, +60-3-2148-4654, +60-3-2148-4682, +60-3-2148-9989 (they may or may not be helpful)

Otherwise, your maid will have to apply for the tourist visa through the Malaysian embassy in the Philippines. Embassy of Malaysia 10th -11th Floor, World Center Building, No 330, Sen. Gil Puyat Avenue Makati City, Philippines

      Their contact number is: +632-864-0761, +632-864-0762, +632-864-0763, +632-864-0764, +632-864-0765, +632-864-0766, +632-864-0767, +632-864-0768

Consulate General of Malaysia 3rd Floor, Florentine Building, Bonifacio Street Davao City Philippines

      and their email address: malmanila@kln.gov.my

The documents required are the IM.47 form (in Maid in KL Essentials ) Three passport sized photos Travel ticket Proof of sufficient funds.

Alternatively you could contact the following agency which can help you, Agensi Pekerjaan, 03 90581440.

Dear Expat underground. You seem so experienced so are you an expat here? We moved here last year under the MM2H program for my husband since I am still a Malaysian citizen. My husband hs Alzheimers and I need help badly if we want to continue living here. Before we moved here I was lead to believe that it is easy to hire a maid here. I have approached a few agencies and in my books they either are overcharging or does not give me comfort that they will come through with a reliable maid after taking RM8000-10000 from me. I even have difficulty finding one in Penang that will handle under the MM2H program. What do you recommend I do to scure a maid.
I am in touch with a maid here who is on contract until Apr 25th 2012 and she wants to go home and then come back to work for me. It sounds from your postings that I can hire her without her going home if the current employer is willing to write a letter of termination and I wil have to apply for her visa transfer. Is this viable?
I also have two maids who are willing to come from the Philippines but how do I go about getting the paperwork of POEA or they must do that themselves in Philippines? Msut I use a Philippine agency to handle their paperwork on that end?
You will be a lifesaver! Thanks.

I am an expat here and hope to remain here for at least a couple more years. The advice I give is what I have either discovered myself through trial and error or through friends. If I provide any in-correct information then I hope someone will inform as I want my information to be as accurate as possible. I will also admit that I do not know everything just a little something. I also hope that through my forum other people will provide advice as we have all been in that position where house help feels like house drama and we wonder whether it is worth it…..when I look at my ironing and washing for the day I would say yes it is worth it. As you have a husband with a special need I would contact one of the agencies that are accredited by the Filipino Embassy like FR Gardens. If they cannot help you they may provide information about who can. Let me know the outcome.

The maids can enter under a social visa and then once in the country apply for a permit. To fill out the correct forms they will need to contact the Malaysian embassy in the Philippines. The maids should enter as tourists and then apply for a permit. Try this company for help 03 9085 1440. If you have any problems please inform me asap.

Tried the no. you gave but no longer in service. BTW, I have a friend who tried to get a maid in from Philippines as tourist and had all the paperwork here with the immigration MM2H to convert ready. The maid apparently was stopped by the police in Manila to leave the country to come to Malaysia. ow my friend even lost the cost of the return tickets. It is such a dilemma in getting a maid nowadays and with my husband having Alzheimers, I need help desperately but still very cautiously.

Hi Expat underground. I have a maid who just finished her contract here but went home to Philippines and willing to come back to work for me. I believe I still need the paperwork for her to leave Philippines even though I can apply directly o MM2H immigration for her work permit here. There’s an agency recommended by the immigration dept. called Sri Nadin in Jln Yap Kwan Sen KL. and they want to charge almost RM5000 just to get the paperwork for the other end. What do you think? I would first see what paper work is like that you need to submit for the maid. Sometimes the money may seem like a lot but When you consider the trips to immigration and filling out forms it does not seem so much. See if you can pay half before she arrives and the rest after she is in Malaysia with permit. Some agents will not charge anything until they give you the passport.5000 should cover everything.

Hi there, any chance you could give me a bit of advice? I currently live in the UAE but am moving to KL with my husband and son at the end of July. We have very luckily found a nanny/maid over there who we think will be very good. The problem is that she will finish working for her current employer on 10th July and we do not arrive until the 28th July. Also, our work permits probably won’t be ready for about another month following our arrival. What do I need to do to keep the nanny in the country until we arrive? Will I need to pay a huge amount to an agent to help? Will they even be able to help as she will be “illegal” for a fair while. It sounds like such a difficult system. You’d think that the government would give them at least 30 days grace to get a new visa sorted. We really don’t want to lose out on this nanny to another family as she seems very reliable and with a one year old son I’m extremely cautious about who I’d be happy to leave him with. Any advice would be much appreciated. Thanks

My advice is contact this agency 03 9058 1440 or contact Ram +6012-3215830. Also, if you have any problems there are other maids out there but if you find someone you like and trust you are best to keep her. She will only be illegal if her permit is cancelled. Therefore, 1: find out when her permit expires, 2: contact the agent because there might be paper work that you need signed before the current employers leaves, 3: if it does not work out with the maid do not stress as you will be able to find another. 4: what are her work conditions? If she is already here then some agreements between employer and maid is the salary sacrifice so the maid contributes towards the permit over a set period. This means the maid will be more likely to stay with you.

Let me know how you go.

Hi. I would like to hire my sister’s maid’s sister who is a Filipino. From what I have read in the posts above, it seems like it is possible to hire one without going thru an agency (which charges nearly rm11k) for one. What puzzles me is that when I called the phillipines embassy to ask, they said I cannot do it on my own and must do it thru an agency. ???? Now I am confused. So, I would like to ask your opinion on this. Thanks sooooo much in advance.

First you need to determine whether she is legal or not. If her permit has expired she is considered illegal and you will need to use an agent and it should only cost 6500rm maximum. If she is legal then you will need to apply for a name transfer and that is where it gets tricky. If you are an expat then the rules are different and she does not need to leave the country. If you are local than an agent will need to be used as they have ways round the system. Try these two agencies FR Gardens – 016 612 7418. or Agensi Pekerjaan 03 9058 1440. Otherwise, if you go to the immigration with all your paperwork then they might be able to help or provide advice on what to do. Paperwork being copies or your husband and your permit and passport, copies of children’s passport, marriage certificate, passport photos of you, your husband and your maid (at least 2) and an employment letter on company letterhead and copy of maids passport and her passport. There will other forms that you will need to fill out. Also, before you embark on any of this make sure your future maid has a medical before application because if she has any illness or pregnancy issue this will need to be addressed before application for your maids permit. If your maid is illegal than it depends on whether you want to make her legal. Applying for your maid’s permit yourself and not using an agent means you will need to spend a couple of hours lining up and a few visits.

Very informative blog on maids, and really helpful. Good work. I need your advice on my situation here.
        1) I am local Malaysian.
        2) Intend to hire a maid which recommended by my friend’s maid maids are aunty and niece relationship).
        3) the new maid has worked in KL for 4 years, currently unemployed after finished last contract, now in Philippine.

From the information I read in your blog (and the comments) I would assume easiest way (fastest and cheapest too) is to fly her in to KL, and then proceed to Immigration to convert the Social Visit Visa to Work Permit. Of course, make sure she went through medical check-up in Philippine before coming to KL. Is my assumption right? Thanks.

      • Jun 6 2012

Yes. They need a sponsor letter so they can enter the country on a social visa and then convert. This can be done by an agent, and should only cost maximum 6500 rm. It also allows you time to trial the maid before proceeding with permit as you can go to Singapore and renew permit. Be careful with the aunty niece relationship, any older lady who is a friend is commonly referred to as their aunty. The 4 year experience does not mean they are better than the “fresh” maids just that they have the social network.

      • Jun 6 2012

Check with the agency how much the permit will cost before proceeding with the permit as every agency has a different price and will add on costs if possible.

Can I process the conversion of the permit myself, without going through the agent? Cos I would like to save on the agency fee if possible. Thanks.

I think it depends on the immigration centre. We potentially could at Mdec but during the process we found the maid was actually illegal. Other immigration agencies have not been as friendly and it can depend on the staff at the time of your enquiry. You can try and if not use an agent as back up.

Thanks for your advice. I just gave a call to the Malaysian Immigration Office and thought of finding out procedure of applying by self. I was being told that all application for Filipino maids have to go through agent. This is the procedure set up by the Philippines government due to the complication when dealing in regards POEA. The same goes with Indonesian maids. No way to save the agency cost. The only maids that local immigration office accept application by employer are from Sri Lanka, India, Vietnam and Thailand. Just an update.

Thank you very much for this information. I will put it in a post. Maybe to save cost, find a maid who has come over from Philippines on a social and then use agent to convert. Otherwise fr gardens agency fees are the cheapest I know. The most expensive price I know is 11,700 rm. although their excuse is the maid is only paid 950 rm a month and no day off.

If all the requirements are met and the papers have been submitted to immigration then it should only take a maximum for four weeks. One agent I used took roughly 2 weeks. Transfer does not take very long. I would not leave for the Philippines until the permit has been transferred and the permit is in the passport. If in doubt you can always call immigration or the Filipino embassy. Once you have the permit then you should be allowed to return to the Philippines if you employer has approved it. But check as the rules constantly change.

If you are local you will need to sponsor the maid and she can enter the country as a tourist and then convert to a working visa. This will generally require an agent.

To bring a maid direct you need a local to sponsor so they can enter on a social visa and the you will need an agent to convert to a working permit. Otherwise yes you will need a poea.

Hi everybody, thanks you for this blog, as it gives plenty of useful information. I am also in the process to hire a philippino maid (we are expat with working permit). We finnaly found a maid, after several interviews. She is actually in Philippines, and has never been abroad. Now the question is working permit. Our intention is to ask her to come first with a social / tourist visa, and then to handle the working permit in Malaysia. It looked like quite ok until the POEA came to the pictures. I will have the help of the HR manager of the company for which we are working. He has contacts in the immigration department, and have solved working permit for a lot of foreign workers but never with phillipino.
Did anyone manage to get the POEA by himself? Must we get it, as I am a little bit confused as sometimes it is said that we don’t need it.
I download the application and documentation for the POEA, and this is where the nighmare starts…
    Thanks in advance

This is a little complicated as I can only provide advice re maids working in Malaysia. If your girlfriend wants to enter the country she needs a local sponsor for her tourist visa and then find someone to apply for her working visa.

You must be able to show adequate income if you want to sponsor your girlfriend.

It is always a constant question which seems to provide numerous answers “When do I use an agent”. An agent is usually necessary to either transfer a visa or convert a social pass into a visa or obtain a visa for a maid who’s visa has expired. If the immigration in your area says you need to use an agent then it is advisable to use one. If the immigration agent is feeling “friendly” then they might be able to help you with the paperwork so you do not need an agent. Usually you do need an agent as the standardised rules make it difficult to obtain a visa without an agent. My recommendation is to contact a number of different agencies to see who can help at the best price.

What do I do if my maid’s previous employer refuses to write a release letter?! Her permit expired on 30th August and due to the fact that they thought she was stealing from them, they will not write the letter. Do I need to go straight to an agent? When we hired her we thought it would be a straight forward transfer…how silly we were! Finding a maid that we can trust to look after our son has been so very difficult! I thought there would be lots of options but in reality the good ones are hard to find.

Go straight to an agent and see what they can do. As her permit has expired she will be considered illegal.

Hi, my maid of 2 months wants to leave on her own accord (basically doesnt want to do the mundane housework) & ask to see the agent. As she is my own candidate, FR gardens doesnt provide the 3 months warranty. Now that they have spoken to her and me, they have agreed to take her with them. I will be refunded my advance (which i’ve loaned to the maid) and not needed to pay for a plane ticket. I will need to sign a release letter prepared by them, and she will be their responsibility while waiting for the documentations to be transferred to her new employer (yes, they already have plans to recycle her thus i dont need to pay for the plane ticket). Here’s the big question, i was told by some experienced employers that it’s the way the agent compensate without needing to refund me any part of the agency fees. That I shouldnt bother taking up their offer. Instead threaten to go to the embassy with complaints and their offer. Poea is straightforward, if the maid wants to terminate or breached the contract by non performance due to unwillingness to work, I don’t have to pay air fare back & should be refunded some amount by the agency the fact that it’s her who request to leave. Would you be able to advise please if i would be able to get some form of refund?

I would be very impressed if you do get any money back. I guess at the end of the day it depends on how much the money means to you. If you can afford a new maid without affecting the budget then I would advise to go to the embassy and make life difficult for this maid. You have paid a lot for her permit and she is now getting a new employer because she does not want to work for you. She will now think that if she does not like her current employer then she will again ask to leave. She does not understand the amount of money we invest in their permit. However, it is more than likely you will not see any money if you go down this road and nothing may eventuate from it. Actually you might have to pay a cancellation fee! However, if you take the agents offer then you will get some money back but not much. First, if you do not want to take the agents offer, contact the Filipino embassy, find out their advice and then contact agent. Keep your options open.

Let me know how it goes.

Thanks for the quick response. I’m still bitter to have spent 6.5k and have provided 100 percent of shelter, food, toiletries, etc for 2 whole months and is back to zero help at home now. It’s just an unjustifiable loss! have you loss some money too in your experience so far?

      • Sep 23 2012

Yes I have lost lots of money yet (I try not to add it up) The most bitter experience we had was helping a “church” by paying 5500 rm for a visa transfer because the employer threatened to send the maid back to the Philippines if we did not pay. The Church came to ask us and asked for our help. After one month the maid ran away because she let a stranger into our apartment while I was out and she was babysitting my one year old daughter. We told her we did not trust her due to this behavior so two days later she said she was sick and asked to go to the doctor. She did not come back. The Church brought her back but we decided to go separate ways as she no longer wanted to work for us. We received no compensation. The church then asked if we would pay for the maid’s flight home, “to look into our hearts and forgive the maid”. I said no and that the church should have enough money to send her back. After a couple months, I was searching for a maid and her name was given to me. We had lodged a police report and cancelled her permit yet she was still working. That really annoyed me.

    Dear Expat-Underground,

Im in the midst of getting a Filipino maid to work with me. And i hope you can advise me on what to do before getting her in as a maid.

My friend recommended this Filipino maid to me last week. This Filipino maid left her ex-employer because she claim that her ex-employer didn’t pay her salary for more than a month plus and the monthly salary is always not on time. She is actually still under contract with her ex-employer and the contract will only end on February 2013. She did not run away, she negotiated with the ex-employer that she wants to quit and her ex-employer actually send her back to her agency and terminated her working visa with them. Problem is, the agent don’t want to refund the passport to her. The agent gave this Filipino maid 2 choices; (1.) to go back to her ex-employer and complete her remaining months or (2.) to go back straight to Philippines.

    I met her the other day, and she gave me the agent number to find out the truth. I called the agent and they don’t want to release her passport unless she go back to Philippines and not continue to work in Malaysia. The agent said that they will throw her passport away if she doesn’t go back by the 15th of Oct. So she is now considered as an illegal immigrant because she is living without a passport. She told me she is very keen to work and she don’t want to go back to her country yet because she need money to support her family. Her mother has hypertension and mild stroke so she need lots of money to support the mother for her medication. She showed me her photocopy passport and i did a google search. Her family is living 12 hours away from Manila in some rural area. I wouldn’t mind helping this person if she is really keen to work as im in need of a maid too. So my question is;

    1. Can she lodge a police report and say that she lost her passport since the agent don’t want to release it?

    2. After lodging the police report, can she apply for a new passport in the Philippines embassy?

    3. Can i apply for her to be under my employment without going through any agent? I wouldn’t mind going to Putrajaya to get it done to lessen the cost.

    4. Is the fees to apply for a maid working visa and permit to work with me expensive? How much will it roughly cost since this is the situation and she is already here?

Hope you can advise me. Appreciate very much!

She will need a new passport which will cost money. Unfortunately with this situation it is advisable to use an agent as they have contacts and they know how to work the system. She will need a new passport, next she will need to apply for a new visa which will cost roughly 6500. If her visa has been cancelled then she is now considered illegal and there will be an additional fine to pay.

Just remember that every maid has a sob story. Make sure she contributes towards the costs by salary sacrifice, she pays half so every month she will earn 900 and 500 will go towards the cost. It is best to do this otherwise she will leave you without any consideration to the money or the effort that you have put into keeping her in Malaysia.

There are many Filipinos who are refused entry into Malaysia because they do not have the correct paperwork. Check with the Filipino embassy because the rules do change regularly. She will need a sponsor letter from a Malaysian. First, she must go to the Malaysian embassy in the Philippines to see what she needs to enter the country safely.

I am David Yee / FR Gardens Employment Agency. I have read a comment written and I have this to say, to employer with the intention of bring their own maid from the Philippines. Most of these such employers usually have maids recommended by friend’ s maids or other maids as this was exactly the case with that employer . We do not know them at all as these maids do not go through our selection or vetting or even getting to know a little of their background .

We do not know them at all and therefore , we cannot guarantee these maids .

We have warned many employers as through our 20 years experiences, we find that this “own maid ” arrangement ,would have a higher failure or the need to change the maid .

Yes, we did say no guarantee but we alway do give a replacement even if that maid was her own. We have told that employer, we will give her a Replacement and she just need to follow the Agreement for Replacement and she shall allow the maid to be transferred. On an average, this employer , would only have to pay RM2500 and get a new maid from our available biodatas. I just wish that this employer would give a fair and clearly picture of us.

Ask any Accredited Licensed Agencies, we have to pay about RM4000 to our Tie up in Philippines to bring in the Filipina maid . Also, come this month, November 2012, all Agency Fees will go up by 30% at least, as there is a new Rulings from the Philippines Govt that all Agencies have to complied or have their Accreditation revoked.

Feel free to contact us ,if any of the viewers in this Blog wish to have any further clarification.

Hello! I am in a bit of a dilema and I was wondering if someone can help me here. I have a Phillipino maid working for me for the past few months. There’s a little bit of history that I should get into here – She basically came to me after my friend (who highly recommended her to me) went back to Australia. They left in a bit of a hurry so were not able to transfer her visa to me as the new employer. She is wonderful and takes very good care of my child. I would really like her to stay with me. Her visa expires on the 24th of November and I met with her recommended agent (who happens to be the friend of her friends boyfriend). He says he’s not really an agent but can help me because of his friend. This agent’s brother-in-law works for immigration so can by-pass the 6 month wait that my helper will have to go through because she has to apply for a new visa. This time around though, the agent tells me that he will get my maid employed under his wife (who is malay) so that if ever we have to leave, my helper does not have to go through the same problems again and that she can just go and work for someone else in the country. He says he has to pay money under the table etc. (which I am totally against!) and says that he is going to charge me RM 4500 with no work to me (1/2 now and 1/2 when the visa has come through). I have several issues with this arrangement. I trust my helper and think she is quite innocent so I don’t think she’s in on this… but I’m not very sure about this agent. I feel pretty insecure that I will pay for her visa charges and then she or the agent can basically decides who she’s going to work for. I pay her quite well and she only works for me from mon-Fri (10 – 8pm).

I work part time and I really need a helper at home. I’m thinking about asking her to share the expenses for the visa as I think that might keep her and the agent obligated to me. It is also very expensive and as an expat, I really don’t know how long I’m going to be living here. The maid charges come straight out of my allowance so there’s no company paying for this either. I did not budget for this so it’s totally thrown me off. Please help. I’m not sure what to do!

    Thanks!

Hi, I am David Yee / FR Gardens Employment Agency. Firstly, all I can say here is, there are not such rules ( Immigration ) for, that simple, a Transfer. It is because of such problem that has come about….with agent or so “called agent” that the Imm has not tighten the Rules for transfer esp for expats.

The agent telling you that his relative/ Bro in law etc etc works for Immigration… is a familiar story ( being told ) and many employers and esp Expat do fell for such scheme.Just take a ride to Jalan Duta Immigration Office/KDN or Imm Putrajaya and you will know the legal ways that need to have a maid for Transfer or even call to any accredited Licensed Maids Agencies.

Maybe, you should tell to that so called agent… that they complete the Transfer papers and only then when…you go to imm to check the validity , then you pay ! …see what happens? Imagine in your case, you even mentioned… you pay RM4500 and they will do the permit under that wife name….crazy yah !!! Even if you have, the papers made legal… having someone else maid, can land you in trouble…. do you feel safe carrying her around ?

All foreign maids coming to work , must come with a Sponsor, that is, the work permit issued under the employer / sponsor.

I know how you feel as many expat do need a helpers. Believed me,…get one thru the proper
licensed Agencies will save you money and headache.

Feel free to email me if you need any further advise. ( email:davidyee118@yahoo.com )

Seriously your maid has very easy work conditions. If the visa is not in your name do not pay anything. As you are an expat the 6 month rule does not apply. If she is only working 10 – 6 then she should pay all of it. Other agents will organise a new visa for 5500. Name transfer do not cost much. The friend in immigration should do it for less. I would say that she pays it herself or you will organise a new maid through an agent who will work 6 days a week live in and the hours start 6am and the day will finish at 8 with no public holidays. Sunday is only day off from 7am – 7pm.

Warning, do not pay for a maid to have a permit in someone else’s name.

        Hi Simone ,

Must really thank you for the comments and advices you wrote . You really know a lot about this maid’s Immigration Rulings, the “Do & Dont” etc. …Must really respect you for that!

Your ” Warning” comes in time to paint that correct picture for Transfer.

        Thanks & Regards,

Hello Mr Yee! Thanks for your reply. He’s not going to do a transfer he says – he’ll need to apply for a new visa but without the maid having to leave the country at all. So she will stay with me.

He also said that once the documents have been filed, as long as they are before the date of the expiration of her previous visa and immigration has a record that we have applied then it should be ok. Is this true?

As I said before, she is very good and my daughter trusts her. She has been working for me for a few months now and I trust her. If I have to get someone else, I have to go bac to square 1 which I don’t want to do. I also have a feeling that we are not going to stay in Malaysia for a long time so I’d like to pay as little as possible to get the visa done.

I’m just not so sure I can trust this agent though… that’s the only issue.

Really I do not know how to explain further.. As far as the Imm rules are concerned … no such application allowed
      .
Just imagine , earlier they told you a different story and now….. Best ,you decides…

I strongly suggest that you go over to Imm counter to ask that the expat employer of this maid had go away and how to transfer her ?. Can you call the Phl Embassy Tel: 21459485 / 21433361 about the maid’s rulings ? . I will definitely help if it is possible. I know your situation but please be very careful.

Madam, I can use social visit pass to enter in Malaysia and
i already have in contact with a Malaysian who can help.
He personally knows a consular officer in the Malaysian
Embassy in Manila who can help me with the invitation letter
and arrange the necessary papers here for me to come to
Malaysia and i can convert my tourist visa into working visa
when i arrive in Malaysia. So that you can minimize your
expenses by direct hiring me and you dont need to pay the
agency fee in the Philippines. I know a Malaysian who can
help us convert my social visit pass into working visa
and he is charging 4500 ringgit, cheaper than most of the
agencies i know from my research online…
You can contact my cellphone number in the

4500RM is definitely cheaper than other agents. Most charge 6500 + however I do know one that charges 5500 RM.

May I know how to cancel her work permit and can I ask her to pay me back the agent cost bcos she has not complete her two years contract yet.

You have the maid working for more that a year now and honestly , nothing much you can do if a maid , wants to resign. To be fair, as far as the Agency is concerned , they have given you the maid and had fulfilled their obligation.
The agent should be able to assist you to do the cancelling of the maid’s permit and maybe, you may have to pay a small fee for their service .
Maybe you can approach them to give you a fair discount to get a replacement that is something you can ask.

Hello, I am a British expat that has just started working in Malaysia for at least two years (maybe longer). I have a Filipina girlfriend in the Philippines and I would like her to come and live with me in KL.

I met her during a visit to the Philippines last December 2011 and have since visited her twice more in the Philippines (and met her whole family). I did invite her to visit me in Singapore for a week’s tourism but she got prevented from leaving the Philippines by immigration officers in Clark Airport – who told her that I was lying to her and that I would steal her passport and sell her into prostitution! This was despite her having a return ticket, confirmation of hotel booking, information about me (including passport details) and enough pesos to support herself during the visit. As you can imagine she was pretty upset by this and I was not impressed with this description of me either. It cost me my Singapore hotel booking advance, her return flight and extra expense – as I decided to fly to Philippines instead to make her feel better. I can understand the need for Filipino immigration to crack down on ‘human trafficking’ but this was done in a very cruel and brutal way…

Anyway, I have since done more investigation on the subject and it seems that for her to ‘safely’ leave the Philippines to visit Malaysia on a tourism/social trip under the ASEAN visa exemption I need to get a ‘letter of invitation’ certified by the Philippines embassy in KL (which costs around 100RM plus time to visit embassy – it also requires a personal appearance by me at the embassy), proof of return ticket booking and proof of financial support for my GF when she is in Malaysia (even though theoretically Filipinos should be able to travel to Malaysia as short term tourists under the visa exemption with no visa restrictions as part of ASEAN)… With all of this (and me flying with her from Philippines to confirm everything and help with exit interviews) she should be able to leave the Philippines (although even then it is not 100% guaranteed and depends on the exit immigration officer) and enter Malaysia for one month with a tourism/social visa.

    Anyway my questions are these:

    1. What would be the best way for me to get permission for my GF to stay in Malaysia for more than one month at a time? I am reading this thread as was not sure if the ‘maid’ route is best in my circumstances. We do love each other and I am seriously thinking about marriage further down the line once we have spent some more time together (although it is kind of a dilemma as don’t want to get married until we have spent more time living with each other yet it may be the only way we can spend time living together is if we get married!) Is there a better route for me than the ‘maid’ route? Maybe an expat with a similar situation can advise?

    2. If my GF enters Malaysia with a one month tourist/social visa is it possible for this to be converted into a maid’s work permit quickly enough so that she does not become ‘illegal’?

    3. What requirements will she need to complete in the Philippines in order to qualify. I saw mention of POEA further up in this thread but am not sure what this is – can anyone clarify this? Would I need to employ an agency in the Philippines to help her with POEA ‘stuff’? And are there any special educational requirements? Unfortunately my GF did not graduate high school – despite being an intelligent lady – because she started working early to help support her family – I am planning to help her get this (albeit late) by helping her get a ‘jump” certificate with some extra study and exams, but it would be helpful to know whether she would need a high school certificate for POEA? Maybe a Filipino could advise on this?

    4. Someone mentioned ‘medicals’ and ‘pregnancy’ – how does this impact the process? When would a medical need to be done if required? And… (IF)… she becomes pregnant while in Malaysia how would this potentially impact the situation if she is on a ‘maids’ visa…

As you can see the situation is quite complicated. I hope this is enough information for you all to give me some advice. Thanks in advance.

    Hello all,

I have a situation here. I would like to take my part time maid to work with me full time, stay in. However, she doesn’t have a passport, and visa. Passport is held by the agency and visa is already expired. So the agency advise that if i want her as a full time maid, the maid will have to go back to Philippines and wait till January to come back again. We have to pay a fee of RM9000 to legalize the maid and to bring her back. Problem is, the agency said, no replacement if we doesn’t want her, cause in a way we already pick our choice and confirm that we want her as our maid. Is there any short cut way that she don’t need to go back and we can do everything here instead? This part time maid gave me a contact to call and this agent (illegal i supposed, on the name card with no company registration number) says he is from the immigration and he can settle with a fee of RM6500. How do i check if he is illegal or legal agent? Any website to check on this?

    • Nov 11 2012

If you really want to go down this track then make sure you do not pay the agent until you have the permit and he can prove that it is valid. Otherwise you offer to pay him half up front and the rest once permit delivered. There are agents or people that can get round the system. As your maid does not have a passport everything will cost extra. The agent might be legal but what he is doing for you is illegal but this happens all the time but it does not mean you will not get into trouble. If you do get caught your family can be deported and your permit cancelled. However, I do not know anyone that this has happened to but you never know when the authorities will crack down.

If there are any problems an agent can be used and they will be successful as in Asia it helps to know people in the right places.????this not true i have away of geting maids with out goign to deal with agnet there

    Hello there..
I have been reading the all of the posts from the beginning till the end and I felt that is pretty informative. I believe I am sharing the same dilemma with the others on bring in a Filipino maid. Oh yeah fyi, I am a Malaysian.
To cut the story short, i would like to hire a maid and the person which i would like to hire is Malaysia currently, Borneo to be precise. She working as a housekeeper in a hotel and uses her visitor pass i think, which requires her to be in and out of Malaysia as her visa is only valid for a month. I need some advice on the followings:

    1. I am aware that in order to apply a work permit, a calling visa is required. Is there anybody could assist/ advice on how to apply a calling visa without the intended person returns back to the Philippines.

    2. An migration officer back at my hometown has informed me,we can apply in for the calling visa and the future maid has to return back to the Philippines, conduct a medical check up approved by the Malaysian Embassy and present herself at the Malaysian Embassy to collect the calling visa , provided the lady knows what to do. If not we still require an agent over there to assist the lady to obtain the calling visa from the Malaysian Embassy in Manila.
The officer also mentioned that once a calling visa is obtain, we as the future employer can apply for the work permit by our self. I am wondering whether it is true? Any comments?

    Your response is highly appreciated.

    Thank you for your time.

Hi, This is David Yee .We are a licensed employment agency duly accredited with the Philippines Embassy. To get a filipina maid over, you have to apply thru a Licensed Agency
and only after the approval from Immigration done, the Approval & POEA Contract have to be authenticated in the Philippines Embassy here before sending to the Tie uP for further action in POEA office over in Philippines .It will takes about 2 months for her to depart but this is the only and legal way to bring in the maid. should you need to know more, do email and we shall try to assist you.

Hi all, I am a foreigner transferring my filipino maid to a local colleague through an agency (have used before but now wondering why using again!?). This local colleague just sent back her last maid so has been granted approval for a maid before. It’s now nearly 2 months since I first handed over all the documents to the agent to process (17 Jan).

Is this a normal time frame for transferring from a foreigner to a local as this is what the agent is saying is causing the delay. She said foreigner to foreigner is faster?!

Also can I change agents half way through the application process (or take over the process myself) if I decide this agent cannot do the work competently and taking too long?

One other question, is it possible to do the fomema checkup ahead of time and then attach the calling visa number? or do you have to wait for the calling visa first? Just trying to cut down time. BTW, my maid has been here for 7 years so not new into Malaysia and has been to fomema before.

Lastly, what’s the fastest time anyone’s experienced for fomema reports to be available after the medical checkup? They say 10 days on the website but hoping it could be faster?

Tks! Appreciate any advice or info.

Hi, I am David Yee of FR Gardens Employment Agency Sdn Bhd. .( a licensed Filipina maid Agency, duly accredited with the Philippines Embassy )

To do a Transfer , the 1st employer need to ” shortened” the work Permit: of the maid and not
cancel her work permit. More importantly,as in your case, For transferring to your local colleague , it can be done if its within a year of working here in Malaysia.( Imm Rulings )
The normal time frame to have the papers done ( legally transferred ) in Immigration …is around 1 month.

Another Imm Ruling… to do a transfer, the maid needs to go for Medical check up / Fomema
Also, For application to change employer , the Immigration will want a copy of the maid POEA Contract as being proof of her ,being legally deployed over and not coming as a ” tourist”

Also, going thru a licensed agency ( Accredited with the Philippines Embassy ) is the legal protection requirements imposed by the Philippines Govt.Should you need any further advise, please do call me ….David Yee / Mobile : 0162594711 / Email : davidyee118@yahoo.com

There is a filipino maid who is unhappy with her employer and wishes to return to the phils. She has worked here for 11 months and she had her 3 months salary deducted. Now that she wants to return, she was told that she wont be paid for 6 months as a penalty. Is there such a ruling or is there another way to go by for her to return without having to pay such exorbitant penalty?

      JB,

Yes, we can do the POEA here ….if the maid is your own maid and Transfer with you from aboard . ( example : the maid working with you in Spore… and now you are being relocated )

if the maid is not your own maid.. but came as Tourist /Social Visa, we cannot do her papers
at the Embassy. ( POEA regulation : No Tourist allowed ) Best is that she goes back and do her papers legally and return to work. The time frame is about 2 months

Do call if you need any further assistance…. my h/p: 0162594711

Sorry to hear that you have had some bad experiences in the past… That’s because you have not done some homework .Sorry to say that !
Allow me to advise, if you want a Filipina Maid, you have to get thru an Accredited licensed agency , for that you can check thru the Philippines list .
However, if you wish, do kindly call me and I will be happy to be of service to you.

Hi There, our maid has been with us for 6 months and we are now looking at renewing her permit which expires after a year. I understand we need to do this after nine months. The agent which we used will charge us RM1225 for renew her yearly permit. I would like to try to do this myself and learn the process. Could you please advise me on the process? Thank you!

Hi I need an advise from the expert here.
I’m expat and got a filipino Maid through the maid agency last year,.
When I applied her permit under my name, the agent informed the application was rejected and need to have the name of Malaysian.
I couldn’t get anyone from local so paid 1,000 RM to the owner of agent to use his name for the contracted 2 years.
Almost 1 year is reaching, the agent informed he wants to cancel the maid next year (after 2 years) and maid can be transferred under my name if her working period is less than 1 year and requested me to pay 2,000 RM!!

Thus, I’m thinking she will needs to go back to her hometown to see her son after 2 years but will come back to continue the work.

Option 1) I leave her permit under the maid agent’s name until next year and apply her permit newly under my name again.

Option 2) To change her permit under my name now and extend the Visa year by year

Which option would be better in terms of the cost & time required.

    Hope your advise…

      HI,
I am David Yee and with a fully Licensed and accredited Employment Agency with the Philippines Embassy.

The so called agent you are dealing with, is not telling you the right thing. If you are an Expat working here, with a Work Permit, you can easily apply a maid thru a Licensed Agencies.
From what I can say.. this agent will have more things to tell you with the intention of making more money. You can either ….. tell him that you WANT TO HAVE the permit change to your name “Right Now ” with a small fee or you can send the maid back home to Philippines and start all over again. However,… take note that you have to pay the full fee of getting this maid in legally and to apply under your name.

I strongly believed that you have fallen into one of those agents, getting such a maid and
they will find ways and excuses to make more money. You can ask them for their Company’s Immigration and Labour Licence and if the dont have… that will tell you , about them.

You can even call the Philippines Embassy ( Tel: 21459485 Ms Melanie or even the Labatt Dr Alicia Santos ) to find out more about Licensed Agencies that allow to bring in Filipina Maids into Malaysia. You will then be safe and not taken for a ride. !

      Regards.

I saw under the Accredited Filipino Agencies KL and Ryuji agensi is listed in this list . Frankly i have been to Ryuji and had a very very bad experience with them . I went there when i was pregnant 3 month and when i was 9 month i still have not get my maid . During the few months period , they assure me the maid will come everything was going well but ended up nothing !!! . They even blame that the reason my maid didn’t reach because i took long time to pick the biodata . For goodness sake they only given me few profiles and how long can i take to choose the maid . 1 month the most . Anyway – eventually … they told me the maid did’t want to come and ask me to pay extra 3K ontop of my 5K for selecting a new MAID . Don’t waste your time on this Agency Ryuji – save your headache and money $$
